Role Centers and User Security Setup

Maintenance Manager provides two dedicated Role Centers within Microsoft Dynamics 365 Business Central to streamline user navigation and enforce segregation of duties based on operational responsibilities: the Maintenance Manager Administrator Role Center and the Maintenance Manager Technician Role Center.

Configure user security permissions in alignment with these roles:

  • Administrators: Require full set-up and management permissions for Maintenance Manager (MM-SETUP, MM-ADMIN). Additionally, Administrators require standard Business Central Production Order permissions to create, edit, refresh, reschedule, and finish maintenance tasks and orders.
  • Technicians: Require execution-focused permissions (MM-TECH). Security scope is restricted to viewing assigned work, logging execution time, consuming components via journals, and updating operational task statuses. Technicians are restricted from modifying base setup pages, master task configurations, BOMs, or routings.
Role Center Operational Scope & Permissions
Maintenance Manager Administrator Full administrative access to the Maintenance Manager Setup page; master data editing (Maintenance Equipment Assets, Maintenance Equipment Items, Maintenance Parts, Maintenance Tasks, Routings, Maintenance BOMs); standard Business Central Production Order permissions to create, edit, release, and finish maintenance orders.
Maintenance Manager Technician Operational execution scope; access to assigned Released Maintenance Orders; access to Production Journals and Consumption Journals; authorization to log labor hours (Setup Time / Run Time), record component consumption, and update operational statuses (Pending \rightarrow In Progress \rightarrow Complete); read-only access to master task configurations.

Maintenance Manager Setup Page Configuration

The global operational rules, default posting series, worksheet batches, and core inventory mechanics are governed by the Maintenance Manager Setup page. Defaults are populated by running the Maintenance Manager Setup Wizard.

Maintenance Manager Setup FastTabs

  •  General (Display, Auto-Delete, Priorities, Equipment Defaults, Interval Triggers, Item Templates)
  •  Numbering (Task, Corrective Task, & Maintenance Order Series)
  •  Worksheets (Output, Adjustment, Item Journal, & Planning Batch)
  •  Inventory Preference (Keep in Inventory vs. Manage 0 Inventory)
General FastTab
  • Hide Maintenance Orders: Toggles visibility of Maintenance Orders on standard Business Central Production Order lists (e.g., Released Production Orders). Set this toggle to Enabled (True) to prevent maintenance activity from cluttering core manufacturing production lists. Set to Disabled (False) if plant management requires unified visibility across all shop floor orders.
  • Auto Delete Corrective Tasks: Controls the retention of one-time, break-fix tasks upon order completion:
    • Do Not Delete: Retains completed corrective task records on the active Maintenance Task List indefinitely.
    • Delete: Automatically deletes the corrective task line once its corresponding Maintenance Order transitions to Finished status. Historical ledger entries, resource costs, and item postings remain permanently preserved in Business Central history regardless of this toggle.
  • Default Priority Code: Establishes a system-wide baseline priority (e.g., LOW, MEDIUM, HIGH, EMERGENCY) automatically populated on newly-created maintenance tasks.
  • Auto Create Equipment: Determines whether creating a standard Business Central Fixed Asset automatically generates a corresponding Maintenance Equipment Item. Finance users can temporarily enable this setting during initial asset onboarding and disable it during routine operations to prevent unwanted item creation for non-maintenance assets (e.g., office furniture).
  • Placeholder Work Center: Defines the standard placeholder Work Center code (configured as 999 via the initial system setup package) used on master maintenance routings.
  • Update Actual Interval: Defines the exact trigger point when cumulative interval tracking values (e.g., runtime, distance, duration) are updated in system history. Configurable to trigger On Status Complete (when the maintenance technician changes the order’s operational status to Complete) or On Order Finish (when an administrator changes the system status from Released to Finished).
  • Equipment Template Code & Part Template Code: Assigns default Business Central Item Templates to standardize category codes, base units of measure, and default posting profiles when creating new Equipment Items or Maintenance Parts.
  • Mandatory Costing Configuration: Equipment items must be assigned the Standard Costing Method with an explicit Standard Cost of $0.00. Posting groups must be configured so that inventory movement generates a net-zero balance sheet valuation impact. Ensure that the General Posting Setup is completed based on Financial Policies and correlated to the BLANK Gen. Business Posting Group
Numbering FastTab

Defines default Number Series used across maintenance records:

  • Maintenance Task Nos.: Default series assigned to preventative maintenance tasks (e.g., PM-00001).
  • Corrective Task Nos.: Dedicated series assigned to unscheduled breakdown tasks (e.g., CT-00001).
  • Maintenance Order Nos.: Default series assigned to generated Maintenance Orders (e.g., MPO-00001).
Worksheets FastTab

Configures default journal template and batch references used for automated background posting:

  • Output Template Name & Output Batch Name: Specifies journal parameters for automated output postings.
  • Adjustment Batch Name / Item Journal Batch Name: Specifies default batches used for automated inventory alignment.
  • Planning Worksheet Batch: Specifies the dedicated batch name used for maintenance scheduling (e.g., MMM). Using a dedicated batch isolates maintenance planning lines from standard manufacturing MRP / Planning Worksheets.
  • Warehouse Journal Setup: If advanced warehousing (directed put-away and pick) is enabled at a location, warehouse journal batches must be populated; otherwise, standard Item Journal batches execute all inventory movements.
Equipment Inventory FastTab

The central operational parameter governing Equipment tracking is the Inventory Preference setting. Reference features below:

Feature / Dimension Keep in Inventory (Recommended) Manage Zero Inventory
Inventory Balance Maintains a quantity balance of 1 per equipment. Maintains a quantity balance of 0 per equipment.
Location & Bin Tracking Fully supports physical Location Codes, Bin Content, Zone tracking, and physical movements. No tracking or identification of location.
Transfers Standard Business Central Transfer Orders between physical plant facilities. Cannot utilize Transfer Orders across physical locations.
Order Execution Mechanics Maintenance orders consume the equipment item out of inventory and post output back into inventory upon order execution. Maintenance orders generate temporary inventory upon order creation and automatically adjust balance back to zero upon completion.
Lifecycle Visibility & Scrapping Rationale Decommissioning Equipment by writing the item out of inventory (quantity 0). This halts order generation while preserving complete historical ledger traceability. Decommissioning Equipment requires manual description edits and manual item blocking, to prevent accidental order generation.
