Set Up Dynamic Ship Email

Dynamic Ship can use Business Central Enhanced Email to send the tracking information for a shipment starting in Business Central 20 and higher.

  1. Navigate to Email Accounts in Business Central.
  2. Fill in the email server settings using either O365 or SMTP (see Microsoft’s Set Up Email page).
  3. Select Send Test Email to verify the account is set up correctly.
  4. Search for Dynamic Ship Setup and choose your preferences for the tracking email.
  5. Set the email trigger for during the Get Label process or after posting the document (After Post trigger only works from within Dynamic Ship).
  6. Define a minimum of one email template to use.
  7. Choose where the email is retrieved from in relation to the order (e.g., which field on the Sales Order to use to look up the Customer).
  8. Search for Dynamic Ship E-mail Template List to edit an email template.
  9. See the stock template named EXAMPLE to see how to format an email template with HTML content and attachments.
  10. Click Parameter Help to see what variable text can be added to the email.
  11. Click the Send Test Email button to verify that the template is setup correctly.
  12. Search for Dynamic Ship Customer Options to set individual customers to use an alternate email address or template. Modify the following email related fields:
    • Customer No.
    • Ship-To Code
    • Shipping Agent Code (optional)
    • Service (optional)
    • E-Mail Template Code (optional)
    • Customer E-mail Source (optional)
    • Manual E-mail (optional)

SMTP Setup for Prior Versions

When using Dynamic Ship on Business Central 19 or lower, SMTP is used to email the tracking information for a shipment.

  1. Search for SMTP Mail Setup to fill in email server settings or select Apply Office 365 Server Settings (if available).
  1. Click the Test Email Setup button.

    I got a request that email attachement pdf file (posted sales invoice) to be sent out to with invoice# instead of “Sales – invoice.pdf”. Most of our emails gets sent out through DSHIP feature with the email templates but I don’t know where to change the file name. If I send the email out through business central, the file name is “Sales Invoice &Invoice number&.pdf” (which is what we want). Is there any place I can go in and change this for DSHIP emails too? Thanks!

      To activate attachments, change Insert the Invoice No = Insert Invoice No in the Email Tracking section of the Dynamic Ship Setup page.
      Attachment are only usable if Tracking E-mail Trigger = After Post in the Email Tracking section of the Dynamic Ship Setup page and posting with Order Post Behavior = Ship & Invoice.
      Edit the email template to include a valid “Shipment” Report ID from Report Selection Sales page.

      Note that the shipment must be posted from the Package Worksheet.

        Thank you- currently the two attachements are automatically sent out but with generic names (“Sales – Invoice.pdf” , “Shipment Contents.pdf”)- I checked my setup and it is setup already to include both Shipment No and Invoice No. Tracking E-mail Trigger : After post, Insert the Shipment No – include shipment No, Insert the Invoice No. – include Invoice No. but they are sent with generic name and do not include invoice numbers. What am I missing?

          The core functionality of the Dynamic Ship email template is to send tracking data from the carrier so that customers can track their own packages. The attachments are base Business Central reports, so Dynamic Ship does not have additional information about them to include unless you want a customization built to include more data. You will need to contact [email protected] to request a customization to the email template.

            Thank you- just to confirm, With the current version of Dynamic Ship, are invoice and shipment PDF attachments always sent with generic filenames (e.g. “Sales – Invoice.pdf”), and there is no configuration option to include the invoice or shipment number in the filename?
            I want to make sure I’m not missing any setup on my end, since BC emails already include the document number in the filename by default.
            If this is expected behavior, I’d also like to submit this as a feature request. Thank you,

            The name of the file comes from the name of the report on the Report Selection Sales page, which is the base Business Central function for naming PDF attachments – it is not a Dynamic Ship setting. If you want a different name for the file, your Business Central partner could make a custom report for you which would then result in a new name for the attachment, but it would still be a static name.

    I would like to test out my setting of email templates and Dship customer setup and see if the combination sends the email to the right person after an invoice is posted. Is there any way for me to test that out? (if I change the setting on the DSHIP customer setup after the invoice is posted (ship and invoice through DSHIP) and send an older posted sales order to resend to test using DSHIP setting). I can resend using BC basic emails but I don’t know if/where to find the way to send email out using the DSHIP template/DSHIP customer setup email addresses.

      There is no re-send function in email notifications. If you are testing email on post, you will need to make a few orders and go through the whole packing process to post them each time you want to test.
      If you just want to see if the right email address is selected, you do not need to send – just scroll down to the bottom of the factbox on the Package Worksheet to see what email address was found.

    Is there a way to add a scheduled delivery date to the email based on the sales shipment Posting Date + Shipping Time?

      No, that is why the tracking number and link are provided, so the customer can see directly from the carrier when it is expected to be delivered.
      The parameters that are available to include in the email template can be found in: E-mail Template Card >> Reports >> Parameter Help.
      If you want a custom parameter created, please email [email protected] to request an estimate for creating a new email template placeholder.

    Can the clients Business Central invoice be attached to the tracking email that is sent by Dynamic Ship when the package is processed by Dynamic Ship?

      Hello Gina,
      Yes, an invoice can be attached to the Tracking Email sent by Dynamic Ship, provided the steps in the Knowledge Base article have been followed to set up Dynamic Ship Email. Once that has been completed, a Dynamic Ship Email Template Card can be built, with the Email Template Report Selection chosen, depending on which report you will be using for the Invoice attachment.

    I have a discount% to show up in my invoices but when I go through DSHIP email,, it doesn’t show that column (as if the discount option is turned off). I was wondering where the default option (to show my discount) can be updated since I am having trouble finding the place for it.

      The documentation has been update for Enhanced Email now that it is built into Business Central 20.

      Drew, this feature is part of the Dynamic Ship development roadmap and will be released in a future update.
