Sample Workflows for Quality Inspector: Moving Items, Initiating a Retest, and Discarding Failed Stock

You are here:

Common outcomes for quality inspections include initiating inventory movements or further testing based on inspection results. You can enable Multiphase processes through a series of workflow responses handling each step. The following example outlines a receiving lot by lot scenario where failed items are moved to another location for retesting. Further failures result in discarding the items, but a passed retest automatically initiates a move back to the original location.

Prerequisites

  • Have two locations in the company (this example uses the CRONUS Silver and Blue locations)
  • Have run Assisted Setup for Quality Inspector
  • Have a Quality Inspection Template
  • Have a lot-tracked item

Setup: Create a test when a purchase order is received

Automating the generation of inspection tests when receiving stock ensures consistent quality control, reduces manual errors, and enables timely identification of non-conforming items for further action.

To automatically create a test when a purchase order is received, a generation rule with a purchase trigger must be present.

  1. Navigate to the Quality Inspection Templates page in Business Central and select the desired template.
  2. Select Test Generation Rules.
  3. Select a new row to initiate a new rule.
  4. Input a description of the rule, set the intent to Purchase, and set the table to Purchase Line.
  5. Add a filter to limit the Location Code field to the Silver warehouse.
  6. Set the Purchase Trigger field to “When Purchase Order is received”.

When a purchase order is received in the Silver location, a new test will be created.

Setup: Blocking a lot when a test has failed

While you can use a workflow to block or unblock a lot based on a Quality Inspection Test result, blocking the lot this way can impact other desired transactions, such as moving the failed items. You can implement more granular lot blocking via Quality Inspection Grades.

  1. Navigate to Quality Inspection Grades in Business Central.
  2. Select Edit List.
  3. Update any of the allow transaction columns to prevent specific transactions from being performed when the test has failed for the FAIL grade (e.g., you can prevent sales, purchases, consumption, and output while allowing inventory movements to take place).

Workflows

Setup: Ensure Quality Inspection Workflows are Enabled

  1. Navigate to Quality Inspector Setup in Business Central.
  2. SelectShow More in the Defaults FastTab.
  3. Ensure that Workflow Integration is set to Enable Workflow Integration.

Setup: Add Movement and Adjustment Batches

You must specify the item journal batches for inventory movements and adjustments on the Quality Inspector Setup page. If the journal batch does not have a no. series, the test no. is used instead.

  1. Navigate to Quality Inspector Setup in Business Central.
  2. Navigate to the Inventory and Warehousing FastTab.
  3. Set a batch name in the Batch Name field in the Bin Movements and Reclassifications section.
  4. Set a batch name for Batch Name field in the Inventory Adjustments section.

Setup: Add a Quality Inspection Workflow Category

  1. Navigate to Workflow Categories in Business Central.
  2. Select New.
  3. Input a code and description for the new category (e.g., QI or Quality Inspection).
