Sample Bulk Receipts of Untracked Items in Quality Inspector

You are here:

Quality Inspector can sample receipts whether items are untracked or tracked by lot, serial number, or package. For an untracked item, the received quantity becomes the test’s Quantity (Base) and serves as the sampling lot, even though no Business Central lot number is assigned.

Quality Inspector can calculate the number of units to inspect using:

  • A percentage of the received quantity.
  • A configured Acceptable Quality Limit (AQL) sampling plan.
  • A fixed sample quantity.

For example, when 1,000 units are received and the template has a Sample Percentage of 5%, the resulting Sample Size is 50 units.

Untracked items and AQL lot sizes

An item does not need Business Central lot tracking to use AQL sampling. In this context, the AQL lot size is the bulk source quantity represented by the quality inspection. It is not a Business Central lot number.

For an untracked purchase line, Quality Inspector creates one test for the item line. It does not create separate tests for individual units.

Because the inventory is untracked, the test records how many units must be sampled but does not uniquely identify the physical units selected for inspection.

Configure the Quality Inspection Template

Use either percentage sampling or AQL sampling to determine the sample size.

Option 1: Sample a percentage of the received quantity

  1. Search for Quality Inspection Templates in Business Central.
  2. Open the template that will be used for the receiving inspection, or create a new template.
  3. Add the inspection fields and acceptance criteria required for the inspection.
  4. Set Sample Source to Percent of Quantity.
  5. Enter the percentage in Sample Percentage.

Quality Inspector calculates the sample size as follows:

Quantity (Base) × Sample Percentage ÷ 100

The result is rounded up to the next whole unit because samples represent discrete units.

For example:

Quantity (Base) Sample Percentage Sample Size
1,000 5% 50
125 5% 7
20 10% 2

If the calculated sample size exceeds the source quantity, Quality Inspector limits the sample size to the source quantity.

Note: Percent of Quantity is available in versions newer than Quality Inspector 7.22. Earlier versions use AQL configuration to calculate sample sizes automatically.

Option 2: Use AQL sampling

  1. Open the applicable Quality Inspection Template.
  2. Set Sample Source to AQL Configuration.
  3. Set Default Inspection Level to the inspection level required by your sampling procedure.
  4. Set Default AQL to the required Acceptable Quality Limit.
  5. If separate AQL configurations are maintained, select the appropriate Default AQL Grouping Code. Otherwise, leave this field blank.

When the test is created, Quality Inspector uses its Quantity (Base) as the AQL lot size. It then:

  1. Finds the Quality Inspection Sample Size Configuration whose minimum and maximum lot-size range includes that quantity.
  2. Uses the configured inspection level to determine the Sampling Plan Code.
  3. Finds the matching Quality Inspector AQL Sampling Plan using the sampling-plan code, inspection level, and AQL.
  4. Assigns the configured Sample Size, Acceptance Point, and Rejection Point to the test.

The Acceptance Point is the maximum number of failed samples that the sampling plan accepts. The Rejection Point is the failed-sample count at which the sampling plan rejects the inspected quantity.

Create the receiving test generation rule

Configure a test generation rule so that Quality Inspector creates the inspection automatically from the purchase receipt.

  1. Open the applicable Quality Inspection Template.
  2. Select Test Generation Rules.
  3. Select Create Receiving Rule.
  4. Select the quality inspection template when prompted.
  5. Under What kind of receiving rule are you making?, enable Purchase Line.
  6. Select Next.
  7. Enter any required purchase-line filters, such as:
    • Location
    • Vendor No.
    • Purchasing Code
  8. Select Next.
  9. Limit the rule to the applicable items using one or more of these fields:
    • Specific Item
    • Category
    • Inventory Posting Group
  10. Continue to the summary step and review the filters.
  11. Select Finish.

After completing the wizard, locate the new rule on the Quality Inspection Test Generation Rules page and confirm these settings:

Field Setting
Table Purchase Line
Activation Trigger Manual or Automatic
Purchase Trigger When Purchase Order is Received

You can use Automatic Only instead of Manual or Automatic when users should not create tests manually from the applicable purchase lines.

Receive the untracked quantity

  1. Create or open the purchase order.
  2. Add an item that does not use an Item Tracking Code.
  3. Enter the total quantity being received.
  4. Confirm that Qty. to Receive represents the quantity included in the current receipt.
  5. Release the purchase order.
  6. Receive the order using the warehouse process configured for the location:
    • Post the receipt directly from the purchase order, or
    • Create and post the warehouse receipt.
  7. Do not enter item tracking lines for the untracked item.
  8. Post the receipt.

When the receipt is posted, Quality Inspector creates one test for the applicable untracked item purchase line.

For a partial receipt, the test’s source quantity is the quantity included in that receipt rather than the purchase line’s full ordered quantity.

Verify the resulting test

Open the generated Quality Inspection Test and confirm the following:

Field Expected result
Item No. The received item
Quantity (Base) The received quantity expressed in the item’s base unit of measure
Lot No. Blank for an untracked item
Serial No. Blank for an untracked item
Template Code The template selected by the generation rule
Sample Size The calculated percentage, AQL, or fixed sample quantity

When using AQL, also verify:

  • Inspection Level
  • Sampling Plan Code
  • AQL
  • Acceptance Point
  • Rejection Point

For example, receiving 1,000 untracked units with Sample Source set to Percent of Quantity and Sample Percentage set to 5 produces one test with:

  • Quantity (Base): 1,000
  • Sample Size: 50
  • Lot No.: Blank (when using untracked items)
  • Serial No.: Blank(when using untracked items)
  • Package No.: Blank(when using untracked items)

Complete the inspection using the calculated sample size. If the template is configured to collect individual sample measurements, use the Quality Inspection Sample Worksheet to enter or review the sample results.

Create the inspection before receiving

When the inspection must be completed before the receipt is posted, configure the generation rule as follows:

Field Setting
Table Purchase Line
Activation Trigger Manual or Automatic
Purchase Trigger When Purchase Order is Released

Quality Inspector creates the test when the purchase order is released. The purchase line’s Qty. to Receive (Base) becomes the test’s Quantity (Base) and is used to calculate the sample size.

Ensure Qty. to Receive is correct before releasing the purchase order. If the quantity that will actually be received changes afterward, review the test’s source quantity and sampling requirements before completing the inspection.
