This article will walk you through how to create an ad-hoc quality inspection test for an item that is already in stock in the warehouse.

Quality Inspector can create an ad hoc inspection for inventory that is already in stock. This is useful when an item or lot needs to be inspected outside of its normal receiving, production, transfer, or other automated inspection process.

For example, you may need to:

• Inspect a lot after it has already been received and put away.
• Perform an additional quality check on existing inventory.
• Investigate inventory following a customer complaint or internal quality concern.
• Reinspect material that has been stored for an extended period.
• Perform random or unscheduled sampling of inventory.

For items using warehouse tracking, a Quality Inspection Test can be created directly from the Warehouse Entries page. This allows Quality Inspector to use information from the selected warehouse entry, including the item, location, bin, lot number, serial number, and other available source information.

Prerequisites

Before creating an ad hoc test from a warehouse entry, configure the following.

Create a Quality Inspection Template

A Quality Inspection Template defines the inspection that will be performed, including the measurements, questions, checks, specifications, and grading criteria.

Create a Test Generation Rule

A Quality Inspection Test Generation Rule determines which template is available for the selected inventory.

Navigate to Quality Inspection Test Generation Rules and create a rule with settings appropriate for the inventory being inspected.

For a rule intended specifically for warehouse inventory, configure:

• Template Code: Select the Quality Inspection Template to use.
• Table: Select Warehouse Entry.
• Item Filter: Optionally restrict the rule to a specific item, item category, or other group of items.
• Condition Filter: Optionally restrict the rule based on warehouse-entry information such as location or bin.
• Activation Trigger: Set to an option that permits manual creation, such as Manual or Automatic.

The Warehouse Entry table is table 7312.

A generation rule can be broad or specific. For example, you could configure:

• One template for all warehouse inventory.
• Different templates for different item categories.
• A special inspection for one particular item.
• Different inspections depending on the location or bin where the inventory is stored.

When multiple Test Generation Rules could apply, Quality Inspector evaluates their configured Sort Order to determine which applicable rule is used.

Review the Quality Inspection Setup

Navigate to Quality Inspection Setup and review the Show Test setting.

For ad hoc inspections, common choices are:

• Only Manually Created Tests: Opens tests that users create manually, while automatically generated tests can continue to be created without interrupting the user.
• Automatic and Manually Created Tests: Opens both manually and automatically generated tests.
• Do Not Show Created Tests: Creates the test but does not automatically open it.

For most production environments where automated tests are also being used, Only Manually Created Tests is typically appropriate.

Item Tracking Considerations

If the item is lot or serial tracked, the Warehouse Entry provides the posted tracking information to the Quality Inspection Test.

For inventory that must already exist before an inspection can be completed, consider setting Tracking Before Finishing on the Quality Inspection Setup page to:

Posted Item Tracking Only

This requires the lot or serial number associated with the test to already exist in posted inventory.

Other tracking options are available where inspections may be performed before inventory is posted or where a lot or serial number does not yet exist.

Create the Ad Hoc Test

There are two ways to create the ad hoc test.

The first is directly from the Warehouse Entries page.

To create a test for inventory already in stock:

1. Search for and open Warehouse Entries.
2. Filter the entries to locate the inventory that needs to be inspected.
3. Identify the appropriate warehouse entry using fields such as:
   • Item No.
   • Location Code
   • Bin Code
   • Lot No.
   • Serial No.
4. Select the warehouse entry.
5. Select Create Test.
6. Quality Inspector evaluates the applicable Test Generation Rules.
7. The matching Quality Inspection Template is used to create the test.

The resulting test can contain source information from the selected warehouse entry, including the item and applicable item-tracking information.

The Create Test action on Warehouse Entries is particularly useful for lot warehouse tracked and serial warehouse tracked inventory because the user can select the specific inventory record that is being inspected rather than manually entering its tracking information.

The second approach is to use the “Create Test” directly from the Quality Inspection Template list.

Controlling Whether Another Test Is Created

Creating an ad hoc test does not necessarily mean that Quality Inspector must create a completely separate test every time.

The Create Test Behavior and Find Existing Behavior settings on Quality Inspection Setup control how existing tests are handled.

Some common configurations include:

Requirement	Suggested Configuration
Create a completely new inspection every time	Create Test Behavior = Always Create a New Test
Avoid creating another open test for the same lot	Create Test Behavior = Use Existing Open Test if Available and Find Existing Behavior = Item Tracking
Create a linked retest after the previous inspection is finished	Create Test Behavior = Create a Retest if a matching test is finished and Find Existing Behavior = Item Tracking
Treat the item and lot as the primary identity regardless of the original document	Find Existing Behavior = Item Tracking

For ad hoc inventory testing where each inspection represents a distinct event, Always Create a New Test is often the simplest configuration.

For processes where there should normally only be one active inspection for a lot, using Item Tracking to find an existing test can help prevent duplicate inspections.

Ad Hoc Tests Versus Automatic Warehouse Tests

Creating a test manually from Warehouse Entries is different from automatically creating an inspection when inventory moves through the warehouse.

Use the Create Test action on Warehouse Entries when an inspector or other user decides that inventory already in stock needs to be tested.

If an inspection should instead be created automatically whenever inventory is put away or moved into a particular location or bin, configure a warehouse movement or put-away Test Generation Rule.
