How to Place Part of a Lot on Quality Hold in Quality Inspector

Quality Inspector can restrict the use of lot-tracked inventory based on the quality status of the lot. However, Business Central applies lot-level restrictions to the entire lot number. It does not provide a standard way to block only a specific quantity while allowing the remaining quantity under the same lot number to remain available.

When only part of a lot must be placed on quality hold, you must first give the affected inventory a separate tracking or inventory identity.

The available options are:

  1. Change the held quantity to a new lot number.
  2. Use package tracking to identify and restrict a specific package.
  3. Quarantine a License Plate.
  4. Move the quantity to a quarantine bin or location.

Option 1: Change the held quantity to a new lot number

This is generally the strongest option when the held inventory must be prevented from being sold, transferred, consumed, or otherwise used.

For example:

Inventory Lot No. Quantity
Original inventory LOT100 500
Quantity requiring hold LOT100-HOLD 100
Remaining available inventory LOT100 400

Quality Inspector provides the Change Item Tracking disposition for this purpose. The disposition can change the lot number, serial number, package number, or expiration date through an item reclassification journal. Quality Inspector added item-tracking reclassification support in version 7.20.

The underlying Quality Inspector report is captioned Quality Inspector : Change Item Tracking. Its request page includes the following fields and options:

  • Entire Lot/Serial/Package
  • Specific Quantity
  • Sample Quantity
  • Passed Quantity
  • Failed Quantity
  • Quantity to Handle
  • New Lot No.
  • New Serial No.
  • New Package No.
  • New Expiration Date
  • Location Filter
  • Bin Filter
  • Post Immediately

The Specific Quantity option allows only the affected portion of the lot to be assigned to the new quarantine lot number.

Prerequisites

Before using Change Item Tracking:

  1. The item must use lot tracking.
  2. The inventory must already be posted in Business Central.
  3. A Quality Inspection Test must exist for the item and original lot.
  4. The appropriate item reclassification journal template and batch must be configured on the Quality Inspector Setup page.

The journal batches configured under Bin Movements and Reclassifications are also used when Quality Inspector changes item-tracking information.

Create an ad hoc test for existing inventory

When the inventory is already in the warehouse and is not associated with an open receipt or production order:

  1. Navigate to Quality Inspection Tests.
  2. Create a new test manually.
  3. Select the applicable quality inspection template.
  4. Enter or select the following source information:
    • Item No.
    • Variant Code, when applicable
    • Location Code
    • Bin Code, when applicable
    • Lot No.
  5. Enter the quantity represented by the test.
  6. Complete any additional test information required by the organization.

An ad hoc test can be used to represent inventory that is already on hand and requires investigation or quarantine.

Reclassify the affected quantity

From the Quality Inspection Test:

  1. Run the Change Item Tracking disposition or action.
  2. In the Quantity section, select Specific Quantity.
  3. Enter the held quantity in Quantity to Handle.
  4. In New Lot No., enter a unique quarantine lot number, such as:
    • LOT100-HOLD
    • LOT100-QA
    • LOT100-2026-01
  5. When the lot exists in multiple locations or bins, optionally enter:
    • Location Filter
    • Bin Filter
  6. Select Post Immediately to post the reclassification immediately.

When Post Immediately is not selected, Quality Inspector creates the journal entries for review and later posting.

The report passes the selected quantity, source location and bin filters, new tracking values, and posting behavior to the Change Item Tracking disposition.

Apply the quality restriction to the new lot

After the quantity has been assigned to the quarantine lot, use Quality Inspector to restrict that new lot.

Two common approaches are available.

Use Quality Inspection Grades

Configure the grade assigned to the held test so that applicable transactions are not allowed.

Depending on the Business Central and Quality Inspector versions, grade restrictions can include controls for sales, sales release, outbound sales tracking, outbound transfer tracking, production, assembly, and other transactions.

For example:

Grade Code Intended behavior
INPROGRESS Restrict the quarantine lot while testing is underway
FAIL Continue restricting the quarantine lot
PASS Allow the quarantine lot after approval

The existing Automate Block and Unblock Lot Transactions in Quality Inspector article provides an example of using Quality Inspection Grades to prevent a lot from being sold while its inspection is incomplete.

Block the lot using Business Central lot blocking

Quality Inspector can also update the standard Business Central Lot No. Information record and set its Blocked field.

The Quality Inspector code performs this operation against the item, variant, and lot combination. Therefore, the blocked state applies to the complete new quarantine lot, not to an individual quantity within that lot.

Once the held quantity has been assigned to its own lot number, blocking that lot no longer affects the quantity remaining under the original lot.

Release the inventory

When the held inventory has been approved:

  1. Open the Quality Inspection Test for the quarantine lot.
  2. Complete and finish the test with the approved grade.
  3. Allow the configured grade rules or workflow to remove the applicable restrictions.
  4. When necessary, use Change Item Tracking again to assign the inventory back to the original lot number or to another approved lot number.

Whether inventory should be returned to the original lot depends on the organization’s traceability and lot-numbering policies. In many cases, retaining the quarantine lot number provides a clearer audit trail.

Option 2: Use package tracking

Package tracking can provide a more granular quality identity when one lot is divided among multiple pallets, cases, containers, or other separately identified packages.

For example:

Lot No. Package No. Quantity Status
LOT100 PKG001 100 Quality hold
LOT100 PKG002 100 Available
LOT100 PKG003 100 Available

Quality Inspector supports package tracking and can evaluate package numbers recorded on quality tests. Quality Inspector 7.24 added workflow responses to block and unblock packages.

When package tracking is appropriate

Use this option when:

  • The held quantity corresponds to one or more complete physical packages.
  • Business Central package tracking is already enabled and consistently used.
  • Each package has a unique Package No.
  • Warehouse and outbound processes preserve package tracking.

Package blocking is not the same as quantity blocking. The restriction still applies to the complete package identity. It works for a partial lot because each affected package represents only part of the lot.

Configure package tracking

  1. Configure the item’s Business Central item-tracking setup to use package tracking.
  2. Ensure packages are assigned during receipt, production output, or inventory reclassification.
  3. Ensure the Quality Inspector source configuration maps the package number to Source Package No.
  4. Create the Quality Inspection Test for the applicable item, lot, and package.
  5. Configure a grade or workflow response to block the package when the test is in progress or fails.
  6. Configure the corresponding response to unblock the package when the test passes.

Change an existing package number

The Change Item Tracking disposition can also assign a new package number.

  1. Open or create the applicable Quality Inspection Test.
  2. Run Change Item Tracking.
  3. Select the applicable quantity option.
  4. Enter the new value in New Package No.
  5. Select Post Immediately, or review and post the resulting journal entries manually.

The exact field caption in the disposition request page is New Package No.

Option 3: Quarantine a License Plate

Organizations using the Insight Works License Plating app may be able to quarantine a specific License Plate.

This is useful when the quantity requiring hold is already isolated on a pallet, tote, container, or other License Plate.

Quality Inspector defines the following disposition captions:

  • Quarantine License Plate
  • Un-Quarantine License Plate

These dispositions are available in the Quality Inspector Plus functionality when the required License Plating integration is installed.

When License Plate quarantine is appropriate

Use this option when:

  • The entire held quantity is contained on one or more License Plates.
  • The remaining quantity from the lot is stored on different License Plates.
  • The customer already uses the Insight Works License Plating app.
  • Warehouse processes consistently scan and enforce License Plate status.

Quarantine a License Plate manually

  1. Create or open a Quality Inspection Test associated with the inventory.
  2. Ensure the test identifies the correct item, lot, location, bin, and License Plate.
  3. Run the Quarantine License Plate disposition.
  4. Complete or post the disposition as prompted.
  5. Verify that the License Plate displays as quarantined and cannot be used through the applicable License Plating workflows.

Automate License Plate quarantine

A Business Central workflow can be configured to quarantine the License Plate when a test reaches a specified state or grade.

For example:

  1. Navigate to Workflows.
  2. Create a workflow for Quality Inspector.
  3. Use an event such as a Quality Inspection Test being created or finished.
  4. Add conditions for the applicable grade or test status.
  5. Select Quarantine License Plate as the workflow response.
  6. Create a corresponding passing workflow using Un-Quarantine License Plate.
  7. Enable the workflows.
  8. Test the process with a non-production License Plate before deployment.

The exact workflow events available depend on the installed Quality Inspector version and configuration.

Option 4: Move the quantity to a quarantine bin

Inventory can be moved to a dedicated quarantine bin to physically and operationally separate it from available inventory.

Quality Inspector defines several movement dispositions:

  • Move with Item Reclassification
  • Move with Warehouse Reclassification
  • Move with Internal Movement
  • Move with Movement Worksheet
  • Move with automatic choice
  • Create Transfer Order

These captions are defined by the Quality Inspector disposition list.

The existing Move Product Automatically from One Bin to Another Bin in Quality Inspector article describes the available movement methods and a workflow example for moving failed inventory into a quarantine bin.

Important limitation

Moving inventory into a quarantine bin does not, by itself, create the same type of transaction restriction as blocking a lot, package, or License Plate.

A quarantine bin provides segregation. Whether users can consume, pick, ship, transfer, or adjust inventory from that bin depends on:

  • Business Central warehouse configuration
  • Bin rankings and dedicated-bin settings
  • Pick and movement rules
  • User permissions
  • Operational procedures
  • Additional extensions or custom validation

Do not assume that inventory is technically blocked merely because it is stored in a bin named QUARANTINE.

For a stronger control, combine the quarantine-bin movement with one of the following:

  • A separate quarantine lot number
  • A blocked package
  • A quarantined License Plate
  • Quality Inspection Grade restrictions
  • Custom validation preventing use from the quarantine bin

Configure a quarantine bin

  1. Create a dedicated bin within the applicable Business Central location.
  2. Give it a clear code, such as:
    • QUARANTINE
    • QA-HOLD
    • QC
  3. Configure the bin’s warehouse properties according to the organization’s processes.
  4. Configure the required journal templates and batches on Quality Inspector Setup.
  5. Ensure warehouse users understand that inventory must be physically moved when the system movement is registered.

Move inventory manually from a test

  1. Open the applicable Quality Inspection Test.
  2. Run the relevant movement disposition.
  3. Select the required quantity behavior:
    • Entire Lot/Serial/Package
    • Specific Quantity
    • Sample Quantity
    • Passed Quantity
    • Failed Quantity
  4. Enter the destination location and bin.
  5. Choose whether to create the journal or warehouse entries for later handling or post the movement immediately.
  6. Physically move the inventory to match the Business Central transaction.

Choose the movement disposition based on the location configuration:

Location configuration Typical disposition
Location without advanced warehousing Move with Item Reclassification
Warehouse location using a Warehouse Reclassification Journal Move with Warehouse Reclassification
Location using internal movements Move with Internal Movement
Location using a Movement Worksheet Move with Movement Worksheet
Mixed configuration or automatic selection required Move with automatic choice
Inventory must move to another location Create Transfer Order

Automate movement to quarantine

A workflow can automatically create movement instructions after a test fails.

  1. Navigate to Workflows.
  2. Create a new workflow.
  3. Set When Event to A Quality Inspection Test is Finished.
  4. Add a condition for the failed grade, such as:
    • Grade Code = FAIL
  5. Set Then Response to Move Inventory.
  6. Select the appropriate reclassification or movement method.
  7. Select the quantity behavior.
  8. Enter the destination quarantine bin.
  9. Choose whether to create entries for later processing or post immediately.
  10. Enable the workflow.

The existing bin-movement article recommends creating journal entries for later execution when the physical movement must be performed by warehouse personnel. This avoids having the system show the inventory in the quarantine bin before it has been physically moved.

Automatically create tests when inventory enters quarantine

Quality Inspector can also create tests automatically when inventory is moved into a specified bin.

On the Quality Inspector Setup page, the inventory and warehousing automation option Movement into Bin can be used to trigger test creation when inventory moves into a quarantine bin.

To configure this process:

  1. Create a quarantine bin.
  2. Create or select a Quality Inspection Template.
  3. Navigate to Test Generation Rules.
  4. Select Create Bin Movement Rule.
  5. Select the template.
  6. Enter the applicable location.
  7. Enter the item or other generation-rule conditions.
  8. Set Warehouse Movement Trigger to Movement Into Bin.
  9. Enable the generation rule.
  10. Move test inventory into the quarantine bin and confirm that a test is created.

For a complete example, see Create a Test Automatically with a Put-Away or Movement into a Bin in Quality Inspector.

Choosing the appropriate option

Requirement Recommended option
Hold an arbitrary quantity from an existing lot Change Item Tracking and assign a new lot number
Hold one identifiable pallet or container Package blocking or Quarantine License Plate
Physically segregate inventory Move to a quarantine bin
Prevent use across standard transactions Separate lot plus grade restrictions or lot blocking
Preserve the original lot but distinguish containers Package tracking or License Plating
Automatically isolate failed inventory Workflow using Move Inventory, lot blocking, package blocking, or License Plate quarantine

Recommended process

For most customers who need to hold a specific quantity from an existing lot, use the following process:

  1. Create an ad hoc Quality Inspection Test for the existing inventory.
  2. Run Change Item Tracking.
  3. Select Specific Quantity.
  4. Enter the affected quantity in Quantity to Handle.
  5. Assign a new quarantine value in New Lot No.
  6. Post the reclassification.
  7. Apply a restrictive Quality Inspection Grade or block the new lot.
  8. Optionally move the new lot to a quarantine bin.
  9. Complete the test and release, dispose of, return, or rework the inventory according to the result.

This method separates the held inventory both logically and, when combined with a quarantine-bin movement, physically. It also allows the remaining quantity under the original lot number to continue through normal operations.
