Use Basic Signatures in Quality Inspector

You are here:

The signature field lets you add formal sign-off lines to inspection tests. When a user signs, the system stores their Quality Inspection Permissions User ID on the test line. Optionally, their signature picture (if uploaded on the Quality Inspectors and Quality Inspection Permissions page) appears on selected reports.

Signature behavior is controlled by:

  • Permissions: Who may record signatures and who may upload or replace signature images.
  • Field configuration: Who may sign a given line (allowable values), what happens to the rest of the test after a line is signed (When Signed), and whether the line must be signed for a passing grade (Require Signature).

For field-level setup shared with other types, see Quality Inspection Fields. For permission details, see Quality Inspectors and Quality Inspection Permissions Page.

Add a new signature field

Steps

  1. Navigate to the Quality Inspector Fields page in Business Central.
  2. Select +New.
  3. Input a unique, unused code into the Code field (e.g., If this is a clean install, this might be “MYSIGNATUREEXAMPLE”).
  4. Input a unique, unused code into the Description field (e.g., If this is a clean install, this might be “My Signature Example”).
  5. Set the Field Type to Signature (the Lookup Table is set so that allowable signatories come from the Quality Inspector Permission table, using the User ID field).
  6. Use the Lookup Table Filter and Allowable Values fields the same way you would for other table lookups to restrict which inspectors may sign this field.
  7. Update the When Signed and Require Signature fields to enable desired behavior.

Signature Options

  • When Signed: Controls whether other lines on the same test can be edited after this signature line has been signed.
  • Require Signature: When enabled, the grade conditions for this field are updated so the line must be signed (non-blank test value) for promoted pass grades. Disabling it clears the pass condition for those grades (test line will pass by default).

When Signed behavior

When Signed is defined on the Quality Inspection Field for each signature line. When a signature line is signed, the following restrictions will apply when someone tries to change a sibling test line’s value:

  • Allow all test value changes: No extra restriction; other lines remain editable.
  • Disallow all test value changes: No other line’s value may change (including other signature lines), unless the blocking signature is removed.
  • Allow changes to signatures only: Only signature lines may still be edited; all non-signature lines are locked.

Quality Inspection Templates

Signature lines show When Signed as a read-only column when the template includes at least one signature field. You can configure signature line behavior only on the field card.

Recording signatures on a test

To record a signature on a test, open the test and use the assist/lookup action on the Test Value for the signature line to sign or unsign. You must have Record Signature set to Allowed on your Quality Inspector Permission row and be an allowed signer for the line. The stored value is the current user’s User ID.

Signature pictures and permissions

Signature images are stored per user in the Quality Inspectors and Quality Inspection Permissions table, not on the test line. The test line only stores who signed (User ID).

To upload a signature picture:

  1. Navigate to the Quality Inspectors and Quality Inspection Permissions in Business Central.
  2. Ensure your user has the Upload Signature Picture permission set to Allowed.
  3. Use the Upload Signature Picture action to upload a picture to be used as a signature for your user.

Reports

Sample Reports have been extended to use signature pictures where applicable. Exact layout behavior depends on which layout you use.
