Quality Inspection Fields

You are here:

The Quality Inspection Fields lets you define data points, questions, measurements, and entries with their allowable values and default passing thresholds. You can later use these test fields in Quality Inspection Templates.

You can add fields individually in the system by navigating to Quality Inspection Fields or Quality Inspector Fields. You can also add new fields directly from a Quality Inspection Template by using  Add Field(s) To This Template to quick add both new and existing fields using the add field wizard.

Fields

Field Description
Code Specifies the short code to identify the test field. You can enter a maximum of 20 characters, both numbers and letters.
Description Specifies the friendly description for the field. You can enter a maximum of 50 characters, both numbers and letters.
Field Type Specifies the data type of the values you can enter or select for this field. Use Decimal for numerical measurements. Use Choice to give a list of options to choose from. If you want to choose options from an existing table, use Table Lookup. Options are:

  • Decimal: Best used for numerical measurements.
  • Integer: Integer is typically used for numerical measurements that cannot have a decimal portion.
  • Boolean: Boolean is typically used when there is only ever a true or false scenario. Lookups allow named values.
  • Text: Text is most often used for capturing field notes in specific areas (above and beyond capturing notes for the overall test).
  • Option: You can use Option instead of a table lookup when the choices are small, finite, and do not require changing from specifications.
  • Table Lookup: A more advanced option allowing the capability to lookup values from any table in Business Central. Ad-hoc lookups can also be configured by using table 23067643 “IWX QI Lookup Code”, and setting a filter to match the group code on the lookup code table to the field code.
  • Date and Time: Used when an exact timestamp needs to be recorded (date and time).
  • Date: Used when only a date (with no time) needs to be recorded.
  • Label: Purely informational and used as a kind of group separator. No data is collected.
  • Numeric Expression: Full version only. This allows using mathematical expressions using Insight Works expression evaluator. Expressions can reference values collected in other fields. Please see Use Numeric Expressions (Calculated Field) in Quality Inspector and Expression Evaluator for more information.
  • Text Expression: Full version only. This allows simple text expressions. This is most commonly used to look up values from other tables and have it available as a test value resulting from other fields being entered.
  • Signature: Full version only. Used to record approvals from specified users. Can be used to output signature pictures on reports. For more information, see Use Basic Signatures in Quality Inspector.

You can use the square bracket nomenclature to reference fields already captured on a test.

Allowable Values Specifies an expression for the range of values you can enter or select for the field. Depending on the field type, the expression format varies. For example, if you want a measurement, such as a percentage that collects between 0 and 100, you would enter 0..100. This is not the pass or acceptable condition, these are the technically possible values that the inspector can enter. You would then enter a passing condition in your grade conditions. Examples for numerical measurements (Decimal):

  • To allow values to be entered 1 to 100 use 1..100
  • To allow values to be entered any value over 1, use >1
  • To allow any value except 3, use <>3
  • To allow only 1 or 3, use 1|3

Allowable values are not the passing conditions for any given grade. A default grade condition for your pass scenarios can be defined on a field but are typically configured per template.

Default Value Specifies a default value to set on the test. Caution should be used when setting a default value because it can immediately impact the evaluated grade when creating new tests.
Unit of Measure Specifies the unit of measure for the measurement. This is largely informational, there is no ability to capture data in multiple units of measure and convert it.
Expression Formula Full version only. Specifies the formula for the expression content when using expression field types. Up to 500 characters can be used to contain the expression.
Case Sensitive Specifies if case sensitivity is enabled for text-based fields. This only impacts text-based fields.
(Grade name) Condition Specifies the passing condition for this grade. If you had a grade of Pass being 80 to 100, you would then configure 80..100 here. In most scenarios, there is one passing grade that is promoted. If you have multiple promoted grades, you see the first 10 promoted grades.
(Grade name) Condition Description Specifies a description for people of this grade condition. If you had a grade of Pass being 80 to 100, you would put in text describing this. This text is visible when recording tests and shows up on the Certificate of Analysis. In most scenarios, there is one passing grade that is promoted. If you have multiple promoted grades, you see the first 10 promoted grades.
Lookup Table No. Only applicable to the “Table Lookup” data type. Specifies which table you are looking up when using a table lookup as a data type. For example, if you want to show a list of available reason codes from the reason code table, use table 231 “Reason Code” here. To have a field that refers to a Business Central employee, use Table 5200 “Employee”. To use a generic lookup, use table 23067643 “IWX QI Lookup Code”, and set a filter to match the group code on the lookup code table to the field code.
Lookup Table Caption Only applicable to the “Table Lookup” data type. Specifies the name of the lookup table. When using a table lookup as a data type, this is the name of the table that you are looking up. For example, if you want to show a list of available reason codes from the reason code table, use table 231 “Reason Code” here. To have a field that refers to a Business Central employee, use Table 5200 “Employee”.
Lookup Field No. Only applicable to the “Table Lookup” data type. Specifies the field within the Lookup Table to use for the lookup. For example, if you had table 231 “Reason Code” as your lookup table, use from the “Reason Code” table field “1”, which represents the Code field on that table. When someone is recording a test and choosing the test value they would then see as options the values from this field.
Lookup Field Caption Only applicable to the “Table Lookup” data type. Specifies the name of the field within the Lookup Table to use for the lookup. For example, if you had table 231 “Reason Code” as your lookup table and you were using field “1” as the Lookup Field (which represents the Code field on that table), this would show “Code”.
Lookup Table Filter Lookup Table Filter Specifies which data are available from the Lookup Table by using a standard Business Central filter expression. For example, if you were using table 231 “Reason Code” as your lookup table and wanted to restrict the options to codes that started with “R”, enter: where(“Code”=filter(R*))

Add a new numerical field using the add field wizard

Numerical measurements are the most common metric to collect. This demonstrates how to create a template and set pass conditions for a number.

Prerequisites

  • Use a W1-ENU-Extended base data with “Contoso” sample demo data as a baseline.
  • Ensure the Assisted Setup Wizard was run.

Steps

  1. Navigate to Quality Inspection Templates in Business Central.
  2. Click +New.
  3. Input a unique, unused code in the Code field (e.g., If this is a clean install, this might be “MYNUMBEREXAMPLE”).
  4. Input a unique, unused code in the Description field (e.g., If this is a clean install, this might be “My numerical template”).
  5. Select Add Field(s) To This Template in the action bar area.
  6. A Quality Inspection Field Wizard should start.
  7. Select New Field and select Next.
  8. Input a unique, unused description (e.g., “My Numerical measurement”) and tab off the field (the short name (Field Code) and What type of data is it options appear).
  9. Leave the Short name (Field Code) unchanged (based on the description and attempt to be a unique, unused field code).
  10. Select A number in the What type of data is it field.
  11. Select Next (the next wizard page describes Number Field Details and displays a default value and allows defining the allowed values and pass values).
  12. Locate the Set the range of allowed values section and set the Minimum field to 5 (minimum value you can enter).
  13. Set the Maximum field to 50 (maximum value you can enter).
  14. Locate the Field Conditions section and set the Pass Min to 10 (minimum value to be considered a Pass).
  15. Set the Pass Max field to 20 (maximum value to be considered a Pass).
  16. Select Finish.

The Add Field Wizard closes, and the new field is added to the Quality Inspection Template.

Note on making an optionally filled in decimal field

If you have a scenario where the pass range could be a range of numbers or blank then you’ll need to use the ‘advanced’ option in the Add Field wizard, or manually set the pass condition in either the field or the template to include that default value.

For example, if you had a field were a pass would be considered 20 through 30 or not-measured (i.e blank is a pass), then you would need to set the default value to something like “0” and then make sure the pass condition included that default value, such as “20..30|0”.  When the test is created it would then show that default value which would include the pass value.

Add a new option field

Prerequisites

  • Use a W1-ENU-Extended base data with “Contoso” sample demo data as a baseline.
  • Ensure the Assisted Setup Wizard was run.

Steps

  1. Navigate to Quality Inspection Templates in Business Central.
  2. Select +New.
  3. Input a unique, unused code into the Code field (e.g., If this is a clean install, this might be MYCHOICEEXAMPLE).
  4. Input a unique, unused code in the Description field (e.g., If this is a clean install, this might be “My Choice Example”).
  5. Select Add Field(s) To This Template in the action bar area (Quality Inspection Field Wizard starts).
  6. Select New Field and select Next.
  7. Input a unique, unused description (e.g., “My example list”) and tab off the field (the short name (Field Code) and What type of data is it options appear).
  8. Leave the Short name (Field Code) unchanged (based on the description and attempt to be a unique, unused field code).
  9. Select A choice from the list in the What type of data is it field.
  10. Select Next (The next wizard page describes Choices and displays a choice for A simple list of values or An existing table).
  11. Locate A simple list of values and ensure it is checked.
  12. Locate the columns Pass, Code, and Description in the grid.
  13. Select the Code field in the first row, input “A”, and input “A is the first choice” in the Description field.
  14. Select the Code field in the second row, input “b”, and input “B is the second choice” in the Description field.
  15. Select the checkbox in the Pass field (sets “B” as the pass value).
  16. Select Finish.

The Add Field Wizard closes, and the new field is added to the Quality Inspection Template.

Add a new text field

Free text in tests is used to capture additional notes for specific categories. They usually have “anything but blank” as their pass condition. You can use free text for things like verification of the item number.

Prerequisite

  • Use a W1-ENU-Extended base data with “Contoso” sample demo data as a baseline.
  • Ensure the Assisted Setup Wizard was run.

Steps

  1. Navigate to Quality Inspection Templates in Business Central.
  2. Select +New.
  3. Input a unique, unused code into the Code field (e.g., If this is a clean install, this might be MYTEXTEXAMPLE).
  4. Input a unique, unused code in the Description field (e.g., If this is a clean install, this might be “M”).
  5. Select Add Field(s) To This Template in the action bar area (Quality Inspection Field Wizard starts).
  6. Select New Field and select Next.
  7. Input a unique, unused description (e.g., “My example text field”) and tab off the field (the short name (Field Code) and What type of data is it options appear).
  8. Leave the Short name (Field Code) unchanged (based on the description and attempt to be a unique, unused field code).
  9. Select Free Text in the What type of data is it field.
  10. Select Finish (The Add Field Wizard closes, and the new field is added to the Quality Inspection Template).
  11. Locate the template subform, select the row of the newly added field, and locate the Pass field on the right (defaulted to “<>”” (less than, greater than, single quote, single quote), meaning “Not blank”).
  12. Change “<>”” to “CHEESE” (when “CHEESE” is typed in, it passes; all other values entered fail).

Add a new date field

Dates as fields are rare. Often, it would be expiration dates on reports or dates pulled elsewhere on reports. Sometimes, dates are used for long-running tests to flag checkpoints for certain tests. Similar to text fields, there is rarely anything but a “not blank” as a pass condition for dates.

  3. Input a unique, unused code into the Code field (e.g., If this is a clean install, this might be MYEXAMPLEWITHDATES).
  4. Input a unique, unused code into the Description field (e.g., If this is a clean install, this might be “My example with a date field”).
  5. Select Add Field(s) To This Template in the action bar area (Quality Inspection Field Wizard starts).
  6. Select New Field and select Next.
  7. Input a unique, unused description (e.g., “This is a date field”) and tab off the field (the short name (Field Code) and What type of data is it options appear).
  8. Leave the Short name (Field Code) unchanged (based on the description and attempt to be a unique, unused field code).
  9. Select Date in the What type of data is it field.
  12. Change “<>”” to “2025-07-10” (when “2025-07-10” is typed in, it passes; all other values entered fail).
