How to Report on Operators that did not Clock Off with Shop Floor Insight

This article discussing how to find employees who did did not end their shift in Shop Floor Insight. Shop Floor Insight provides two useful ways to identify employees who did not properly end a previous shift:

  1. Shop Floor Attendance Messages provides an exception-based report comparing employee attendance against their configured shift.
  2. Shop Floor Time Cards provides a quick operational view of time cards that are still open.

For regular daily review, Shop Floor Attendance Messages is the recommended approach.

Option 1: Use Shop Floor Attendance Messages

The Shop Floor Attendance Messages report is designed to identify attendance exceptions, such as employees who did not attend their expected shift or who clocked out earlier or later than expected.

The report evaluates employees against their assigned shift pattern and can show only employees with exceptions.

Configure shift messages

Shift messages must first be configured for each applicable Shop Floor Shift Pattern.

  1. Navigate to Shop Floor Shift Patterns.
  2. Open the applicable Shop Floor Shift Pattern Card.
  3. Go to Related > Shift > Shift Messages.
  4. On the Shop Floor Shift Messages page, configure at least the following message types:
    • Missing Time Card
    • Early Clock Out
    • Late Clock Out

These are standard attendance exception types available in Shop Floor Insight.

For Early Clock Out and Late Clock Out, use Condition Duration to determine how far outside the expected shift time an employee must be before the exception is reported. When either message type is first selected, Shop Floor Insight defaults the Condition Duration to one hour, which can then be adjusted as required. Missing Time Card does not require a Condition Duration.

For more information about configuring shifts, see Configure Shifts in Shop Floor Insight. Shift patterns define expected employee attendance and are used by attendance reporting.

Run the attendance report

  1. Search for and open Shop Floor Attendance Messages.
  2. In Date Range, set Period Start to the date you want to review, use the previous day if you want to see cards that were not closed on the previous day.
  3. Optionally select Only show exceptions to exclude employees whose attendance does not have a configured exception.
  4. Run the report.

The report compares expected attendance from the employee’s shift with actual attendance activity and displays the applicable configured messages.

This is particularly useful as a daily review for production managers because it can identify situations such as:

  • an employee with no time card for an expected shift;
  • an employee who left earlier than expected;
  • an employee whose attendance extends later than expected.

Note: The older Attendance Verification report has been replaced by Shop Floor Attendance Messages and is retained only as a legacy report.

Option 2: Review Open Shop Floor Time Cards

For a quick operational check, the production manager can also use the Shop Floor Time Cards page.

  1. Navigate to Shop Floor Time Cards.
  2. Select the In-Progress view, or filter Open to Yes.
  3. Filter Login Time to the previous day or other period being reviewed.

The In-Progress view specifically filters for time cards where Open = Yes, making it useful for finding older shifts that are still active.

Do not use a blank Logout Time as the test for whether somebody forgot to end their shift. Shop Floor Insight can maintain a Logout Time value while the time card is still open, so the Open field is the reliable indicator of whether the card is still in progress.

Correcting an open time card

If an employee forgot to end their shift, the production manager may need to correct the time card before closing it.

If the recorded Logout Time is incorrect, it can be edited to the appropriate value. However, changing Logout Time by itself does not close the time card.

After reviewing and correcting the time:

  1. Open the time card.
  2. Correct Logout Time or other time information as required.
  3. Choose Close.

The Close action performs Shop Floor Insight’s normal time card closing process.

When a time card is closed, Shop Floor Insight also runs its normal Preparation process. Depending on the configuration, this can include clocking off an open time card line, adding filler time, and applying configured shift break adjustments. Which approach should I use?

Use Shop Floor Attendance Messages when production managers want a regular exception report showing attendance issues relative to employees’ scheduled shifts.

Use Shop Floor Time Cards > In-Progress when a supervisor wants to quickly locate time cards that are currently still open and then investigate or correct those individual cards.
