Repair missing SharePoint document links when link records are no longer available

You are here:

Use Repair SharePoint Document Links when a DocXtender attachment still exists in Business Central but its related record link is missing, producing errors such as “Invalid Link ID” or “The SharePoint link no longer exists and cannot be opened.”

The report attempts to restore or reconstruct missing record links using URLs stored in the attachments. Optionally, it can reconstruct URLs using the original folder and file naming conventions. This report does not verify that a URL opens the correct file or that the file still exists in SharePoint. Existing record link entries are skipped, even if their URLs no longer work.  It may not be possible to repair or reconstruct links in some circumstances.

You must have sufficient permissions to read the affected records and attachments and, when applying repairs, create record links and update attachments.

Warning: Applying repairs cannot be undone through this report. Always preview and review the proposed changes first.

  1. Open DocXtender Setup, then choose Actions > Repair SharePoint Document Links.
  2. Set filters to limit the attachments to repair, such as Table ID, No., or Document Type. Without filters, the report processes eligible DocXtender attachments throughout the current company, which can cause unnecessary locking and unnecessarily analyze too many records.   Do not skip this step.
  3. Leave Preview Only enabled. Initially, leave Allow URL Reconstruction disabled to recover links using URLs already stored in the attachments.
  4. Choose OK, then open the downloaded CSV. Review the document numbers, filenames, URLs, and Result column to identify proposed repairs and skipped attachments. Preview makes no changes.
  5. If required URLs could not be recovered, enable Allow URL Reconstruction. Verify SharePoint Base URL against the original storage location. Enter Original Table Folder if it differs from the current table caption; otherwise, leave it blank. Copied or posted attachments may still use an earlier document’s folder. Preview again and verify the proposed URLs open the correct files: reconstructed URLs are not checked against SharePoint.
  6. Once satisfied, reopen the report with the same reviewed options and filters, clear Preview Only, choose OK, and confirm Yes. This applies the changes and has no undo option.
  7. Review the resulting CSV and open the affected attachments to confirm they access the correct files. Once the report is run with “Preview Only” off the changes cannot be undone.
